If the form has been grayed out, there will be an explanation in red at the top of your form.

If the red message states “There are special tax withholding requirements for Non-Resident Aliens”, or “Your current tax status is Do Not Maintain Taxable Gross and Do Not Withhold Tax”, then your current tax status does not allow for changes via MyMadison Employee tab. You must contact Payroll Services at (540)568-6233.

If the red message states “Your current tax status is exempt” on state and/or federal taxes and you wish to change to having taxes withheld, you must check the appropriate box beside the statement to remove exemption from federal and/or state taxes. Once you check the box the grayed out field opens up for you to make your change. For federal, you will need to choose the appropriate marital status as well as enter the number of allowances you wish to claim and any additional amount desired. For state, you simply need to enter the number of allowances you wish to claim and any additional amount desired.


Yes, paper forms for the W4 and the VA-4 can be found on our website (https://www.jmu.edu/payroll/forms.shtml).


These forms are delivered from their respective government agencies. The IRS has made the W-4 a “fill-in” form and the state of Virginia has not. In order to send in a paper VA-4 form, you will need to print it out and then fill it in.

NOTE: The W4 has significantly changed. Allowances are no longer used to calculate federal income tax withholding. The IRS has published a list of FAQs that you may find helpful as you complete the new W-4.


No, employees that wish to be tax exempt must fill out paper W-4 and/or VA-4 (https://www.jmu.edu/payroll/forms) forms and submit them to Payroll Services every year. IRS regulations require new exempt forms to be completed by February 15th of every calendar year. If you are currently claiming exempt on federal and/or state withholding, your MyMadison Employee tab page will have a message in red at the top. The message will tell you whether you are claiming exempt from federal tax, state tax, or both.


Yes, you may change from an exempt status to having taxes withheld by selecting the check box “My Federal withholding status is no longer exempt” or “My State withholding status is no longer exempt” beside the tax type you wish to change. For federal, you will need to choose the appropriate marital status as well as enter the number of allowances you wish to claim and any additional amount desired. For state, you simply need to enter the number of allowances you wish to claim and any additional amount desired. Once you change from being exempt you will be required to submit new paper forms to Payroll Services if you wish to change back to the exempt status.


You can change from being exempt on either tax type and remain exempt on the other tax type via MyMadison Employee tab. You cannot return to being exempt via MyMadison Employee tab for either tax type. You must submit a paper form to Payroll Services once you have changed your status to having tax withheld at any time during the calendar year.


This marital status is for tax computations only. The single status may be used by married individuals who wish to have more tax withheld from their pay.


You can change your W-4 and/or VA-4 any time your tax situation changes and you want to have more or less tax withheld. All changes except claiming exempt from tax withholding can be done via MyMadison Employee tab.


You can submit changes back to back and the last change submitted will be the information used to calculate your taxes. As soon as you realize you’ve made an error, go to MyMadison Employee tab and submit the correct information.


SWT stands for State Withholding Tax for Virginia.


The process asks you to enter your password or “re-authenticate” for security purposes and to serve as your electronic signature. You will enter the same JMU e-ID password you use to access MyMadison Employee tab.
