This resource library contains useful documents to help you plan your camp and train your staff, as well as links to relevant resources on best practices.

 Cancellation Policy

  • If Purchaser cancels this contract between 30 (thirty) and 60 (sixty) days before the earliest date of arrival, Purchaser agrees to pay the University as liquidation damages for its lost business opportunity an amount equal to 15% (fifteen percent) of the charges for guaranteed head and room counts.

  • If Purchaser cancels this contract within 30 (thirty) days before the earliest date of arrival, Purchaser agrees to pay the University as liquidation damages for its lost business opportunity an amount equal to 50% (fifty percent) of the charges for guaranteed head and room counts.

  • If Purchaser does not cancel prior to 5 (five) days before the earliest of arrival, it shall be obligated to pay the full amount of the charges for guaranteed head and room counts, as well as any addendums or special arrangements.

  • A change of more than 5% (five percent) of the guaranteed head and room counts may, at the discretion of the University, be deemed a cancellation of the contract by the Purchaser and subject to all of the conditions.

  • In the event that the University is unable to provide all, or part of the facilities or services specified in the contract, the University shall give prompt notice to the Purchaser of said inability.

UREC Ropes Course (Team Challenge) Release Form

UREC operates an award-winning recreation facility, and outdoor facilities around campus including the new University Park. This engaging outdoor Team Challenge is participant focused for team building and interactive learning. UREC wants to ensure your safety and well-being as a participant. The release form provides detailed information of potential associated safety risks involved.

Outreach & Engagement Continuing Education Units (CEUs)

The Continuing Education Unit (CEU) is the most commonly used form of recognition and documentation for noncredit continuing education courses and programs. Outreach & Engagement is the official University office responsible for awarding CEUs. Instructors and coordinators who wish to offer CEUs must complete the Non- credit Report/CEU Request form and submit it to Outreach & Engagement. Submission of this form initiates the approval process for granting CEUs. It is solely up to the certifying agency — not JMU — whether to accept or decline CEUs.

Youth Resources

Authorized Adult Training 

To protect minors (those under the age of eighteen) who participate in activities and programs on property controlled by the university, James Madison University has implemented Policy 3118 - Programs, Events, and Camps Involving Minors. These policies requires that all adults, paid or unpaid, who interact with minors in programs held on University property, complete some basic awareness training. All Authorized Adults must complete the Authorized Adult Training, and complete the Authorized Adult Training Quiz.

Chaperone

  • Non-adult conferences, such as Youth and Sport Camps, must be provided with 24 (twenty-four) hour adult supervision. Purchaser agrees to provide adult supervisors, at its own expense, at a ratio of not less than 1 (one) adult supervisor per 25 (twenty-five) non-adult participants. At a minimum, all Camps must adhere to the American Camp Association staffing ratio recommendations as established in the Office of Youth Safety Procedures Manual.
    • 5 years & younger 1 staff for each 5 overnight campers and 1 staff for each 6 day campers
    • 6–8 years 1:6 for overnight, and 1:8 for day
    • 9–14 years 1:8 for overnight and 1:10 for day
    • 15–18 years 1:10 for overnight and 1:12 for day
  • Purchaser further agrees that said adult supervisors will be lodged among non-adult participants.

Office of Youth Safety Procedures Manual 

This manual provides the necessary procedures for a camp or conference with minors on campus and will be beneficial to sponsors as they work with the Office of Youth Safety.

This website is provided as a public service by the U.S. Department of Justice (“the Department”). At the National Sex Offender Public Website, interested members of the public have access to and may search participating Jurisdiction Website public information regarding the presence or location of offenders who, in most cases, have been convicted of sexually violent offenses against adults and children and certain sexual contact and other crimes against victims who are minors. The public can use this website to educate themselves about the possible presence of such offenders in their local communities.
