February 13, 2025

Distribute first round for review of non-curricular material.
The designated contacts will receive an electronic copy of the general university pages. This version will be sent in a protected Word file so we can see your changes clearly. The formatting in this round will not be the same as in the final catalog.

March 7, 2025

Revision deadline for non-curricular material (sent in previous step). 
Your unit must return corrected non-curricular files by this date. The date will also be specified in the email when you receive your text. 

March 7, 2025

All C&I actions must be fully approved.
All curricular proposals must be fully approved in the curriculum management system from the appropriate final approver to be included in the catalog. For most course proposals and program changes, this is the Associate Vice Provost for Curriculum. If a program change requires approval beyond the university (e.g., SCHEV, SACSCOC), inclusion in the catalog currently under production is not guaranteed.

March 18, 2025

Distribute faculty list and departmental (hierarchy) pages.
Designated contacts will receive departmental hierarchy pages and the full faculty list. The full faculty listing includes all full-time instructional faculty members and their rank, academic unit and educational background. We send this list to each academic unit so corrections and changes can be made. 

This version will be sent in a protected Word file so we can see your changes clearly. The formatting will not be the same as in the final catalog. 

On April 15, you will have the opportunity to review curricular content, including previously submitted changes. 

March 28, 2025

Faculty list and departmental pages revision deadline.
Your academic unit must return the revised faculty list and revised departmental page by this date. The date will also be specified in the email when you receive your list.

April 11, 2025 (tentative)

Board of Visitors Meeting: Faculty promotions and tenure.

April 15, 2025

Distribute curricular catalog copy, including approved changes. 
Designated contacts will receive curricular program and course description pages, alongside revised departmental pages. 

This is your opportunity to review catalog copy, including curricular content that was fully approved through the C&I process by the March 7 deadline. This proof is to verify that all previously received, permissible edits have been implemented. Further changes requiring C&I action will not be accepted. 

April 25, 2025

Final proof approval deadline.
Deadline to reply to material sent out on April 15 (in the previous step).

May 2, 2025

Link to online Undergraduate Catalog sent out. 
Pre-publication link sent out to designated contacts to ensure changes were implemented correctly.

May 7, 2025

Last day to report implementation errors from previous step.

May 16, 2025

Online Undergraduate Catalog published.  
No additional changes allowed (except BOV members and pending SCHEV proposals).
