Overview

QuestionPro and Qualtrics are two web-based survey tools available to the JMU community.  QuestionPro is the recommended tool for most web-based surveys, and Qualtrics is a specialized tool for research.

Who can use this Service?

JMU faculty, staff, students, and affiliates may use survey software.

How can I get this Service?

QuestionPro:
To create an account or access your existing account, log in to https://jmu.questionpro.com using your JMU eID, password, and Duo.

Qualtrics:
To create an account or access your existing account, log in to https://jmu.qualtrics.com using your JMU eID, password, and Duo.  Students, please note, these are the same credentials you use to access MyMadison, not the credentials you use to access Dukes email.

Where can I get Help/Support?

QuestionPro:
QuestionPro support is available 24/7 to all faculty, staff, and students. You can access support using the following methods:

Qualtrics:
Faculty, staff, and students can access Qualtrics Support 24/7. Login to the Qualtrics Support Portal to:

  • Chat
  • Phone

In order to contact a support representative via phone, email, or chat, you will need to login to your Support Portal using your JMU Qualtrics login credentials. The organization ID is JMU.

Are there resources for migrating my existing surveys between platforms?

How do I store and archive data?

Survey responses must be handled in accordance with Guidelines for Data Storage and Collaboration. Liaison librarians in JMU Libraries can help you with your data management plans, teach workshops on best practices, and help identify repositories to find and deposit data. In addition, IT consultation services are available to help guide individuals to the data handling and storage options most suitable to meet specific regulations and compliance requirements that may apply. To request such a consultation, submit a Technology Service Request (TSR) and you will be matched with an appropriate advisor.

Is my data backed up?

QuestionPro maintains continuous hot data backups and regular cold backups, see https://www.questionpro.com/security/.

Both platforms use a trash/recycle bin concept to store deleted surveys. See:

Qualtrics backs up data daily, see https://www.qualtrics.com/security-statement/.

Is there a limit on how many surveys I can create?

For JMU accounts, there is no limit on the number of surveys that can be created.

Can I anonymize survey responses?

QuestionPro:
Yes, by using the anonymous link, Tracking and Anonymous link the system will not track the respondent’s details. Enable the Respondent Anonymity Assurance (RAA) for the survey to ensure that email identifications not be linked to the response data.

Qualtrics:
Yes, see Survey Options > Anonymize Response within Qualtrics.

What data export formats are available? 

QuestionPro: Word, Excel, PowerPoint, SPSS, CSV, SQL

Qualtrics: CSV, TSV, Excel, XML, SPSS, and more

Does the software integrate with other apps or websites?

QuestionPro can integrate with Salesforce, Zapier, Google Sheets, HubSpot, Tableau, API, Google Analytics and others.

All integrations must follow JMU data security guidelines and standards.

Can I collaborate with colleagues?

QuestionPro:
Yes. To collaborate with colleagues at other universities, send a request to helpdesk@jmu.edu.

Qualtrics:

Are survey tools safe to use for collecting personally identifiable information (PII), data covered by the Family Educational Rights and Privacy Act (FERPA) or data covered by Health Insurance Portability and Accountability Act (HIPAA)?

Any faculty, staff, or student that will create or distribute a survey intended to collect identifiable information for research purposes must contact the Office of Research Integrity.

Qualtrics responses must be handled in accordance with Qualtrics Data Management and Compliance Guidance. QuestionPro responses must be handled in accordance with QuestionPro Data Management and Compliance Guidance. Handling of all response data must follow the Guidelines for Data Storage and Collaboration.
